PROCEDURE FOR REQUESTING FILES FROM THE STATE ARCHIVES

State agency, court and other State government records are maintained by the State Archives in the main building in Annapolis or at one of the Archives’ off-site locations. In order to determine the location and description of the record you are requesting, please use the Guide to Government Records

The Guide to Government Records provides the name of the agency or court; the type of record (for example; Administrative File, Accounting Records, Correspondence, Foster Care File, Ledger, Minutes, etc.) which the Archives calls the records series; the record series number (for example; T3351, C200, S11); and the location of the record. Locations beginning with the letters HF, OR, CW and BA are found at one of our off-site warehouses. Locations without letters are found at the main Archives building in Annapolis.

Requests for files located at one of our offsite warehouses (HF, OR, CW or BA) should be faxed to (410) 974-2525. Please contact Sheila Simms at (410) 260-6430, if you have any questions.

Effective December 1, 2010, the Candlewood fax number will no longer be in service. You can contact the Archives by phone at 410-260-6400 or by fax at 410-974-2525.

Requests should include the following information from the Guide to Government Records.

Agency or Court
Records Series (i. e. type of record)
Record Series Number ( for example; T-3351)
Box number
Case number
Name on file
Location (for example OR-8-2-32 or HF-11-15-34 or CW-1-2-3)
Date

Requests for files located at the Archives’ main building in Annapolis can be mailed to 350 Rowe Boulevard, Annapolis, MD 21401 or faxed directly to Reference Services at (410) 974-2525.

When returning original files to the Archives, send them via UPS, FED EX, Courier, or USPS with certified mail return receipt requested. Only use shipping methods which can be tracked.
