Work Flow:

Calibrate
scanner

Launch PaperPort and click on the SETTINGS button.

Click on the Scan Settings tab.

Move the brightness bar all the way to the left (darker).

Click on the Scanner Setup tab, then click the CALIBRATION
button.

Calibrate the scanner as per the prompts that should be displayed.

Click on the Scan Settings tab again, moving the brightness
bar all the way to the right (lighter).

Click on the Scanner Setup tab again, and calibrate as before.

Click on the Scan Settings tab a final time, setting the brightness
bar to the center.

Click on the Scanner Setup tab and calibrate again.

Return to the PaperPort Desktop and try scanning again.
Calibration should be done when you notice the image deteriorating.
Instead of waiting until this happens, depending on how much scanning you
are doing, you may want to calibrate once a day, twice a day or every hour.
You be the judge.

Create virtual reality file structure (an example follows):

Make sure your item labeling is correct relative to the letter of the alphabet
you are scanning
Click on edit, preferences, item names, custom. Type: s1411b-01
and click OK.

the "s" should be lower case

1411 is the series number
-
type, in lower case, the letter of the alphabet you are scanning (in the
above example, the letter b is being scanned)

followed by -01 which indicates the first 100 (1 through 99) index cards
-
-02 would be the second 100 cards, -03 the third 100 index cards, and so
on
-
Under your max file, create a "workspace" file. (This is where you
will scan the index cards in clusters of 100.)
To create a "workspace" file, your max folder will need to be highlighted.
Next click on file, new, folder. Under folder title, type "workspace"
and click OK.

Next, stack the 100 index cards.
Before stacking, make sure the very first card is highlighted.
The reason for this is that Paperport stacks whichever card is highlighted
as the first card. Therefore, if a card in the middle of your cluster
of 100 is highlighted, Paperport will stack that card first, and your cluster
will be out of order.

Now that you have your 100 index cards stacked and in order, you will need
to move them into your "max" directory.
Click on your stack and drag and drop it into your "max" folder.
You are now ready to scan another 100 index cards in your blank "workspace"
folder.
Back-up Procedure:
At the end of each day, Workstation 2 should be backed-up on Workstation
124 and vice versa.
