Videotaping Materials in the Collections of the Maryland State Archives

Charges for videotaping: The charge for videotaping materials at the Maryland State Archives is $50.00 per hour or any part thereof.  This hourly fee is also required for the Archives' specialized staff to pull requested material and set up prior to videotaping and for staff time spent monitoring the videotaping session.  Cost of publication permission is not included in this fee.  Payment must be made in full immediately following the taping by cash, check, or credit card (Visa, Master Card, Discover).

Videotaping at the State Archives is subject to the following rules and restrictions:

  • Selection of the materials to be taped must be made 10 business days in advance of the videotaping.
  • Patron must then obtain permission for each item to be filmed from the Reference Services.
    • It must be understood that any permission includes one-time rights only for the specified use. "One time rights" is defined as use of the image in one edition of a publication in any single media.  Additional use of the videotaped materials must be approved by Reference Services.
  • Once permission is obtained, an appointment for the videotaping must be made at the convenience of the Archives' staff and subject to the availability of facilities.
  • A copy of the finished videotape production must be provided free of charge to the Maryland State Archives, and will be accessioned into its Special Collections.
  • Lights, copy stands, and any other electrical equipment required must be provided by the patron. The Archives will supply only space and electrical power.
  • A member of the Archives' staff will be present at the time of the videotaping. Materials will be handled by the staff member only.
    • The staff member may determine that some documents or other materials are too fragile to be videotaped. In such cases, the patron will be responsible for the cost of photographic duplication of these items. For prices, please consult our photograph price list . Negatives will remain the property of the Maryland State Archives, and the prints will become the property of the patron.
  • The patron will not permit others to use videotape of materials from the Maryland State Archives.
  • All responsibility for copyright infringement is assumed by the patron.
  • The Maryland State Archives must be credited in the final production.
