Retention Schedule Preparation (Records Disposal)

  • Agencies can destroy records as described on approved retention schedules.
    • NOTE: A schedule does not constitute legal authorization for the disposal of records until it has been approved in writing by the State Archivist.
  • Once the Agency has an approved schedule signed by the State Archivist, they can destroy records or request record transfers as outlined in their schedule.
    • For all offices of the Maryland Judiciary, these certificates must be submitted and the State Archivist must approve them before any destruction takes place.
    • For all other offices, the certificate can be submitted upon destruction.
  • Disposal certificates can be submitted online at
    • To create an account for the system, agency records managers should send an email to or call 410-260-6467.
    • Agencies can have multiple access accounts.
  • Disposal certificates can be submitted by mail instead of using the electronic system. Forms are available at and can be mailed to the following address:
